    The client

    An online coaching business that sells programs in blocks of time and sends a newsletter to its email list. The client's name is kept private here and blurred in the report pages below.

    Before July, sales were not checked against the newsletter, so there was no record of which buyers had read it before they paid. And when a client's block ended, nothing reminded them to renew: from February to June, 15 of 41 ending blocks renewed (37%).

    What we built

    Sale tracking

    Every paid sale is checked against the newsletter: if the buyer opened an issue in the 30 days before buying, it counts as a newsletter sale. The owner gets a running monthly total in Telegram, and a daily check catches any sale that was missed.

    Renewal reminders

    Messages go out 6, 4, 2 and 1 weeks before a client's program block ends, plus a "your spot is still open" message the day after it ends if they have not renewed. To start it, 153 client records were rebuilt from 236 past orders.

    Client records that stay right

    Program, end date and status fields on every client in the CRM, and a nightly check that keeps each client's renewal status correct.

    Safer newsletter sending

    Draft and send from one message, with no chance of a blank issue going to the whole list, a daily send check and a morning results recap.

    Security and backups

    A security review, new keys, failure alerts added to the workflows that had none, a nightly backup to the client's own Google Drive and a written recovery plan.

    Built on the client's own n8n automation server, with GoHighLevel and Klaviyo.

    How the numbers are counted

    Newsletter sale: a sale from someone on the email list who opened a newsletter in the 30 days before buying. It shows the newsletter was part of their path. It does not prove it was the only reason they bought.

    Renewal: a client who paid again after their block started. End dates come from purchase dates, so a few may be off by a few weeks.

    Time frame: sale tracking began on 24 July 2026 and the reminders on 25 August 2026, so these numbers cover about ten weeks, not a full year. The renewal rate after the reminders is from 19 ending blocks, so the next reports will show whether it holds.
